This Privacy Policy (“Policy”) explains how your information is collected and used by Keep Aware, Inc. (“Keep Aware,”We,” “Us,” “Our”) and applies to information we collect when you access our website, or a Keep Aware product or service, such as the Keep Aware browser extension (“Products”). Our website address is: https://keepaware.com. If you or your organization use one of our Products, the subscription and terms agreed upon and the service agreement and/or data processing agreement may contain more information related to your privacy. Keep Aware is a cyber security company that specializes in Web Security and Cybersecurity Awareness and Training products.

The Keep Aware Service collectively includes all of the services we provide through our website, social media account, browser extensions and applications. Apps mean Keep Aware desktop applications, mobile applications, and web browser extensions. Remember that your use of Keep Aware software and browser extensions is at all times subject to our Terms (which can be found at https://keepaware.com/terms), which includes this Policy.

This Privacy Policy serves to explain how we and some of the companies we work with collect, use, share and protect information in relation to our mobile services, web site, and any software provided on or in connection with the Keep Aware Service.

The use of information received from Google APIs will adhere to the Chrome Web Store User Data Policy, including the Limited Use requirements.

Information we Collect

Information You Provide to Us

In Short: We collect personal information that you provide to us such as name, email address, and security data.

  • Your username, email address and security authentication data when you register for a Keep Aware account or start a Keep Aware application.
  • Communications between you and Keep Aware. For example, we may send you Keep Aware Service-related emails (e.g., account verification, changes/updates to features of the Keep Aware Service, technical and security notices). Note that you may opt out of Keep Aware Service-related e-mails.

Information collected through our Apps

In Short: We collect personal information that you provide to us such as name, email address, and security data.

  • Your username, email address and security authentication data when you register for a Keep Aware account or start a Keep Aware application.

Information collected through our Apps

In Short: We may collect information regarding your active device, web browser, web browsing activity, IP address and geo-location data when you use our applications.

If you use our Apps, we may also collect the following information:

  • Geo-Location Information. We may collect location-based information from your device such as IP Address or GPS information, either continuously or while you are using our applications.
  • Active Device Information. We may collect device-based information from your device, either continuously or while you are using our applications. This information can be user agent, IP address, device model, device operating system information or other similar device, inventory information.
  • Web Browser Information. We may collect browser information from your device, either continuously or while you are using our applications. This information can be user agent, browser model or browser version information.
  • Web Browsing Activity Data. We may collect web browsing meta data (such as the web pages you visit, files you download, and interactions on web pages such as clicks and form actions) while you are using our applications.
  • Push Notifications. We may request to send you push notifications regarding your account or the Keep Aware Service. If you wish to opt-out from receiving these types of communications, you may turn them off in your device’s settings.

Cookies

When you visit or use the Keep Aware Service, we may use cookies and similar technologies like pixels, web beacons, and local storage to collect information about how you use Keep Aware and provide features to you.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

In Short: Some information — such as IP address and/or browser and device characteristics — is collected automatically when you visit our Services or Applications.

We automatically collect certain information when you visit, use or navigate the Keep Aware Service. This information includes device and usage information, such as your IP address, browser and device characteristics, operating system, language preferences, referring URLs, device name, country, location, information about how and when you use the Keep Aware Service and other technical information. This information is primarily needed to maintain the security and operation of our Services or Apps, and for our internal analytics and reporting purposes.

Web browsing meta data (such as the web pages you visit, files you download, and interactions on web pages such as clicks and form actions) is automatically collected while you are using our applications.

This information is primarily needed to maintain the security and operation of our Services or Applications, provide reporting to the organization that manages your device, and for our internal analytics and reporting purposes.

Why we use your Information

In Short: We process your information for purposes based on legitimate business interests, the fulfillment of our contract with you or your organization, compliance with our legal obligations, and/or your consent.

We use personal information collected via the Keep Aware Services for a variety of business purposes described below. We process your personal information for these purposes in reliance on our legitimate business interests, in order to enter into or perform a contract with you or your organization, with your consent, and/or for compliance with our legal obligations. We indicate the specific processing grounds we rely on next to each purpose listed below.
We use the information we collect or receive to:

  • protect against malware, spam, phishing, credential theft, or other fraud or abuse
  • provide security insights and meta data to you or the organization that manages your device based on your web browsing activity
  • remember information so you will not have to re-enter it during your visit or the next time you use the Keep Aware Service
  • provide personalized content and information to you and others, which could include cybersecurity training material or other forms of educational content that promotes cybersecurity awareness.
  • provide, improve, test, and monitor the effectiveness of the Keep Aware Service
  • develop and test new products and features
  • monitor metrics such as total number of visitors, traffic, and demographic patterns
  • diagnose or fix technology problems
  • automatically update the Keep Aware application on your device
  • respond to user inquiries/offer support to users
  • conduct data analysis, identifying usage trends, determining the effectiveness of cybersecurity campaigns and to evaluate and improve the Keep Aware Service, products, and your experience. We will not use identifiable personal information without your consent.

Who we share your information with

In Short: We only share information with your consent, to comply with laws, to provide you with services, to protect your rights, or to fulfill business obligations.

We may process or share data based on the following legal basis:

  • Consent: We may process your data if you have given us specific consent to use your personal information in a specific purpose.
  • Legitimate Interests: We may process your data when it is reasonably necessary to achieve our legitimate business interests.
  • Performance of a Contract: Where we have entered into a contract with you, we may process your personal information to fulfill the terms of our contract.

Humans do not read data unless there is explicit consent from you as a part of a support case, or for an investigation relating to phishing, social engineering, malware, or other forms of fraud or abuse. We may need to process your data or share your personal information in the following situations:

  • Vendors, Consultants and Other Third-Party Service Providers. We may share your data with third party vendors, service providers, contractors or agents who perform services for us or on our behalf and require access to such information to do that work. Examples include: payment processing, data analysis, email delivery, hosting services, customer service and marketing efforts. We may allow selected third parties to use tracking technology on the Services or Apps, which will enable them to collect data about how you interact with the Services or Apps over time. This information may be used to, among other things, analyze and track data, determine the popularity of certain content and better understand online activity. Unless described in this Policy, we do not share, sell, rent or trade any of your information with third parties for their promotional purposes.   • Business Transfers. We may share or transfer your information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.
  • Third-Party Advertisers. We may use third-party advertising companies to serve ads when you visit the Services or Apps. These companies may use information about your visits to our Website(s) and other websites that are contained in web cookies and other tracking technologies in order to provide advertisements about goods and services of interest to you.
  • Affiliates. We may share your information with our affiliates, in which case we will require those affiliates to honor this privacy policy. Affiliates include our parent company and any subsidiaries, joint venture partners or other companies that we control or that are under common control with us.
  • The Organization that manages your device. We automatically share your information with the organization that manages your device. This is most commonly the company you work for or the company that manages your work-related devices.

Our Stance on Third-Party Websites

In Short: We are not responsible for the safety of any information that you share with third-party providers who advertise, but are not affiliated with, our websites.

The Services or Apps may contain advertisements from third parties that are not affiliated with us and which may link to other websites, online services or mobile applications. We cannot guarantee the safety and privacy of data you provide to any third parties. Any data collected by third parties is not covered by this privacy policy. We are not responsible for the content or privacy and security practices and policies of any third parties, including other websites, services or applications that may be linked to or from the Services or Apps . You should review the policies of such third parties and contact them directly to respond to your questions.

Storing Your Information

Storage and Processing:

  • Your information collected through the Service may be stored and processed in the United States or any other country in which Keep Aware, its Affiliates or Service Providers maintain facilities.
  • Keep Aware, its Affiliates, or Service Providers may transfer information that we collect about you, including personal information across borders and from your country or jurisdiction to other countries or jurisdictions around the world. If you are located in the European Union or other regions with laws governing data collection and use that may differ from U.S. law, please note that we may transfer information, including personal information, to a country and jurisdiction that does not have the same data protection laws as your jurisdiction.
  • By registering for and using the Service you consent to the transfer of information to the U.S. or to any other country in which Keep Aware, its Affiliates or Service Providers maintain facilities and the use and disclosure of information about you as described in this Privacy Policy.
  • We use commercially reasonable safeguards to help keep the information collected through the Service secure and take reasonable steps (such as requesting a unique password) to verify your identity before granting you access to your account. However, Keep Aware cannot ensure the security of any information you transmit to Keep Aware or guarantee that information on the Service may not be accessed, disclosed, altered, or destroyed.
  • Please do your part to help us. You are responsible for maintaining the secrecy of your unique password and account information, and for controlling access to emails between you and Keep Aware, at all times. Your privacy settings may also be affected by changes the social media services you connect to Keep Aware make to their services. We are not responsible for the functionality, privacy, or security measures of any other organization.

What rights you have over your data

Your account information and profile/privacy settings:

  • Update your account at any time by logging in and changing your profile settings.
  • Unsubscribe from email communications from us by clicking on the “unsubscribe link” provided in such communications. As noted above, you may not opt out of Service-related communications (e.g., account verification, purchase and billing confirmations and reminders, changes/updates to features of the Service, technical and security notices).

How long we keep your User Content:

  • Following termination or deactivation of your account, Keep Aware, its Affiliates, or its Service Providers may retain information (including your profile information) content you provide to us for a commercially reasonable time for backup, archival, and/or audit purposes.
  • To Delete your Account, please visit your settings within the application or your device settings.

Changes to this Policy

In Short: We will update this policy as necessary to stay compliant with relevant laws.

We may update this privacy policy from time to time. The updated version will be indicated by an updated “Revised” date and the updated version will be effective as soon as it is accessible. If we make material changes to this privacy policy, we may notify you either by prominently posting a notice of such changes or by directly sending you a notification. We encourage you to review this privacy policy frequently to be informed of how we are protecting your information.
